INTRODUCTION

South Africa recently implemented a “Protection of Privacy Act” which directly impacts on how sports clubs, unions and federations protect information obtained from members. The Protection of Personal Information Act (called the POPI Act or POPIA) regulates the use and processing of personal information.

The basic principles of data protection are:

  1. For all data collected, be it statistics, personal information, images, etc., there should be a stated purpose.
  2. Information collected from an individual cannot be disclosed to other organizations or individuals unless specifically authorized by law or by consent of the individual.

HOW DOES THE NEW PRIVACY ACT IMPACT ON ZANDVLEI SPORTS CLUB?

Zandvlei Sports Club takes the protection of the data and images that ZSC holds about members, athletes, volunteers, coaches, officials and venue users seriously, and will do everything possible to ensure that data is collected, stored, processed, maintained, cleansed and retained in a compliant manner.

All members are kindly requested to read this privacy policy carefully to see how ZSC will treat the personal information that is collected by ZSC from members, on its various communication platforms, e.g. website, social media, e-mails, media releases, publications, etc. or structures e.g. training sessions, meetings, competitions, etc. ZSC will take all reasonable care to keep the information of members secure, and to prevent any unauthorised access.

Although the maintenance of ZSC communication platforms is in some cases outsourced, the service providers are held accountable by the same laws mentioned above.

THE INFORMATION PROVIDED TO ZSC

When you become a registered member, coach or volunteer, ZSC will collect certain information about you which will include your name, ID Number, date of birth, gender, profession, email address, physical address, and telephone number.

This data is used only for the purposes of the normal administration of running a successful club, e.g. maintaining membership records, renewing membership, access to the premises, notification of club activities or environmental warnings. It may be necessary that a list of current members names be displayed at the premises from time to time for administrative reasons e.g enabling members to check their registration is currently valid.

All the data that ZSC collects from you is visible only to the Zandvlei Sports Club Chairman, Secretary, Treasurer and Manager when needed. These officials are also compelled to comply with the POPI Act. This information is not shared with other members.

By registering with Zandvlei Sports Club or any of its constituent clubs you agree to this transfer, storing or processing of your personal information. ZSC will take all reasonable steps to ensure that your data is treated securely and in accordance with this privacy policy. The Internet is not generally a secure medium for communication and therefore neither ZSC nor its constituent clubs can guarantee the security of any information you send to these bodies over the Internet, e-mail, social media, or other communication platforms.

CHANGES TO OUR PRIVACY POLICY

ZSC regularly reviews its Privacy Policy and updates will appear on this page when necessary.

Should your association with ZSC come to an end, you can verify the deletion of your personal information by sending an email to the ZSC Manageress at pcciyc@gmail.com.
